Job Description

We’re seeking a full-time, detail-oriented Payroll Specialist to join our team in our faith-based, nonprofit organization. This on-site role is based at our home office in North Colorado Springs. In this position, you’ll ensure accurate and timely payroll processing while working alongside a dedicated, mission-driven team. The Payroll Specialist is responsible for accurately compiling and processing employee payroll data, including earnings and deductions in accordance with established practices and regulations. This position will perform payroll, accounting and administrative duties to support the Payroll department. The Payroll Specialist will work collaboratively and with a team of skilled professionals in a fast-paced, deadline-driven environment, demonstrating precision and expertise, in order to maximize efficiency and productivity.

Essential Duties

  • Understands all aspects of payroll in regards to payroll laws and regulations, to include wage and hour laws and best practices.
  • Manages workflow to ensure all payroll transactions are processed timely and accurately, to include, importing, proofing, editing, processing and transmitting all payroll wages, deductions, reimbursements, bonuses, commissions, and manual payments.
  • Enters pertinent data into the payroll system to include new hires, promotions, and terminations after going through the established approval process.
  • Enters and reconciles earnings each pay period while monitoring all accounts for accuracy.
  • Research, analyze, and resolve all discrepancies, reporting to managers as needed.
  • Facilitates payroll orientation for managers, Executive Directors and Business Office Managers, including time keeping and payroll software.
  • Analyzes and audits general information entered into the payroll system by others for accuracy to ensure wages and benefits are properly distributed.
  • Gives responses to and answers payroll inquiries promptly.
  • Prepares reports for upper management and the accounting department each pay period and as needed upon request.
  • Conducts year-end reporting for W-2s, etc.
  • Manages the PayCard program.
  • Effectively communicates with others to ensure proper information is relayed back and forth concerning changes and updates.
  • Maintains and updates the Payroll Specialist training manual.
  • Demonstrates respect for employee privacy and confidentiality.
  • Assists with client and ESS password resets in the payroll system as needed.
  • Assists department in clerical duties which include employment verifications, filing, faxing, copying, scanning and emailing.
  • Fulfills other duties as required/assigned.

Managerial Breadth/Scope of Job

There are no direct supervisory responsibilities. Manages the flow of the payroll process throughout all companies in conjunction with the Benefit Service Center.

Knowledge/Education/Experience

Knowledge: Federal and State payroll laws and procedures.

Education: High school diploma or equivalent. Bachelor’s degree preferred.

Experience: One or more years’ experience working in payroll or similar role. Paycom experience a plus. Significant experience working in multi-state payroll is a plus.

  • Ability to read, write and communicate in English with a variety of employees and leaders.

Working Environment/Physical Requirements

High-volume office setting, processing and managing payroll for 1,000+ employees. Must be able to lift a minimum of 20 pounds without assistance. Requires sitting at a computer for long periods of time and extensive keyboarding.
